Same day claiming for maternity services from HealthPAC

Claiming is made against the Section 88 Maternity Notice for midwife members in hard copy using the MMPO Maternity Notes, or electronically using the MMPO Maternity Practice Management System.

We have experienced data management specialists who check and enter the data for midwives. They also take responsibility for following up rejected claims, saving the midwife valuable time.

Payment for services

The payments to midwives are made every Tuesday. We process claims daily. Payment is made by way of direct credit to your nominated bank account(s).

Claiming for payment using the MMPO Maternity Notes

The MMPO notes are designed to meet the requirements of Section 88 and therefore we have a very low rejection rate. It is recommended that the pages from the Maternity Notes be sent to MMPO in 4 stages.

There is a unique number on the inside front cover of each set of Maternity Notes. The number from inside the front cover needs to be included on all pages of the Maternity Notes.

Stage one (send in as soon as possible):
On Registration (4 pages stapled together)
  1. Registration* Do not refer women for an ultrasound scan until you have registered her.
  2. Client Profile Summary
  3. Obstetric History Summary
  4. Maternal History Summary

* Note: For change of registration please complete the attached form or complete register page in the notes.

Stage Two:
End of Second Trimester (1 page)
  • First and Second Trimester Care Summary (can also be sent with Registration Pages if complete)

Stage Three:
After Labour and Birth (4 pages stapled together)
  • Pregnancy Summary
  • Labour and Birth Summary (x2) **
  • Baby Summary

**Note: If there is a change of LMC and you are no longer the LMC for the woman, you will need to complete the Pregnancy Summary page indicating the date of the change and a reason for the change. The new LMC will need to complete and submit a change of LMC form.

Stage Four:
End of the Postnatal Period (2 pages stapled together)
  • Postnatal Care Summary
  • Baby Summary and Disbursements

Please ensure you enter the notes number on the top of all pages before they are sent to MMPO. This number acts as a unique identifier for both the woman and the midwife. This ensures the privacy of the information as the Maternity Notes number and woman's name only appears on the registration form and the profile summary. Both these forms should be sent in at the time of registration. All other pages only include the Maternity Notes number.

On receipt of the Maternity Notes by the MMPO the data is entered into the database.
This enables:

  • Claims for payment for you to be sent to HealthPAC
  • Payment to be electronically sent to your bank account
  • An electronic record stored for each woman you provide care for
  • The generation of your annual NZCOM standards review report
  • The generation of non identifying statistical reports for NZCOM to measure midwifery outcomes and support the further development of midwifery services

Disbursements to other practitioners

The information for disbursement is required on:

  • The pregnancy summary form
  • Or on the baby summary and disbursement form
Please complete the information clearly, if the other midwife is not registered with the MMPO please also provide the bank account number of the midwife.

Reminders for Checking Your Claim Forms

To ensure that your claims are eligible and sent as soon as possible for processing and payment by HealthPAC, we have developed a checklist of reminders:

PLEASE FILL IN THE FORMS COMPLETELY IN CLEAR WRITING

Registration forms:

  • Let us know when you become GST registered and send in your GST number with your next set of claims.
  • If you have handed over LMC to another midwife, remind them to send in a change of LMC form, or we will continue to pay you and you will need to make an arrangement with them to pass this on.
  • If you think a woman may be registered with another provider, call HealthPAC on 0800 252 464 to check. If she is already registered and wants to register with you as her LMC, send in the form with change of registration marked.

First and second trimester claims:

  • Include this form with the registration form if the care is completed by registration.
  • 'FV screening' on the form stands for 'family violence screening'.

Rural travel supplement:

  • You need to identify on the claim form, the appropriate domicile code if you are entitled to the rural travel supplement for care of a woman. Inform us of her change of address.

Labour and birth forms:

  • Please complete the section to indicate if you or your back up were present at the birth and whether you are claiming the birth.
  • If you or your backup were not present but believe you are entitled to the payment, you will need to include a letter of explanation with the form.
  • If you think a woman may be registered with another provider, call HealthPAC on 0800 252 464 to check. If she is already registered and wants to register with you as her LMC, send in the form with change of registration marked.

Baby summary form:

This must be sent in with the labour and birth form

  • Complete the birth information on this form and detach only the MMPO claim (pink) form from the notes to send in after the birth. You can continue using the top page and the woman's section of this form for your continuing maternity notes.
